Job description

In accordance with the Vision, Purpose, and Values, and strategic direction of the Vancouver Island Health Authority (Island Health) patient and staff safety is a priority and a responsibility shared by everyone; as such, the requirement to continuously improve quality and safety is inherent in all aspects of this position.

Reporting to the Program Coordinator, provides administrative support to the Youth and Family Addictions Services Regional Manager, Program Coordinator and Staff by performing a variety of general clerical duties such as: Typing and formatting a variety of documents and maintaining client records relating to admission, discharge and transfers; creating and maintaining databases, processing and monitoring expenditures, providing site-specific receptionist services including answering general inquiries, greeting clients and maintaining an appointment log.

QUALIFICATIONS: Education, Training And Experience

High school graduation, Diploma in Office Administration and one year recent related experience including timekeeping, or an equivalent combination of education, training and experience. Knowledge of the rules and regulations regarding timekeeping as per applicable union contract.

Skills And Abilities
  • Ability to type 60 words per minute.
  • Ability to operate within Windows environment including advanced word processing, presentation and spreadsheet software.
  • Ability to prepare, maintain and control a variety of documents, records, files and related data.
  • Ability to make calculations, changes and update, often under pressure, with speed and accuracy.
  • Interpersonal skills in dealing with problems or issues related to timekeeping.
  • Ability to operate related office equipment, e.g. Dictaphone, photocopier, facsimile.
  • Ability to communicate orally and in writing.
  • As required, must be able to commute between offices to provide assistance.
  • Ability to work with stress and deadline pressures and frequent interruptions; initiative, judgment and organizational skills and positive team attitude is essential.
  • Ability to work as a member of a client-focused team.
  • Ability to deal with the public in a tactful, courteous manner.
  • Ability to act with discretion and maintain confidentiality.
