Your Opportunity:
The Claresholm Centre for Mental Health & Addictions is a 120-bed facility with an attached outpatient program offering 40 spaces. The site includes three primary inpatient units: Concurrent Disorders, Active Psychiatric Rehabilitation, and Extended Psychiatric Rehabilitation and Transitions. As an Administrative Support III, you will act as the first point of contact for the Centre, providing high-quality front-line service in a dynamic and fast-paced healthcare environment. This role is central to ensuring a positive and professional experience for patients, visitors, and healthcare professionals alike. Key responsibilities include greeting and assisting patients, managing phone and email communications, and coordinating, scheduling, and confirming appointments using Microsoft Outlook. You will be responsible for accurately registering patients and maintaining up-to-date demographic and health information, all while adhering to strict privacy and confidentiality standards. Additional duties involve processing health information requests, handling incoming correspondence and mail distribution, and performing administrative tasks such as scanning, filing, copying, and faxing. The role also includes monitoring office supply inventory and maintaining an organized and welcoming reception area. Success in this position requires proficiency in Microsoft Office applications, exceptional organizational and communication skills, and the ability to manage competing priorities with sound judgment. Professionalism, discretion, and the ability to collaborate effectively with clinical and administrative teams are essential. A solid understanding of healthcare administrative processes, privacy legislation, and stakeholder relations is also necessary, along with the physical ability to perform routine office activities.

Required Qualifications:
Completion of Grade 12 or equivalent.
Additional Required Qualifications:
Extensive experience and competence with multiple computer systems required including Outlook, MS Word, and Excel and Connect Care. Attention to detail and the ability to multi-task required. Ability to adapt to changing/expanding environment required. Excellent English verbal and written skills required. Ability to work with frequent interruptions in a loud and busy environment required. Ability to foster positive interpersonal and communication skills with health care providers, allied health care professionals, peers, departmental management, and other individuals in a professional manner required. Required to work with minimal supervision, prioritize, and problem solve tasks within many changing situations. Experience with office equipment, such as fax, photocopier, and multi-line telephones required. This position has transitioned to Recovery Alberta effective September 1, 2024.
