Alberta Health Services is seeking an Administrative Support III for their Genetic Services team. This role, based at Alberta Children’s Hospital, involves providing clinical and operational support across multiple sites in Calgary. Ideal candidates will have advanced administrative skills, experience with IM/IT systems, and the ability to thrive in a busy environment. A commitment to detail and strong problem-solving skills are essential, as this position requires independent decision-making amidst frequent interruptions.
Genetic Services, AHS South, is a team of approximately 60 clinicians and administrative professionals who collaboratively serve the population of Southern Alberta. Services are delivered through a hub-and-spoke model, with the core site at Alberta Children’s Hospital (ACH) and peripheral sites at Cambrian Wellness Centre (CWC), Richmond Road Diagnostic and Treatment Centre (RRDTC), and Chinook Regional Hospital (CRH). This casual Administrative Support III position is a key member of the team. Responsibilities may include clinical support (processing referrals, interviewing patients for complete information, scheduling appointments, managing worklists and work queues); operational support (front desk reception, greeting patients and families, directing calls, implementing procedures, managing inventory and supplies); medical record handling (maintaining and retrieving charts, sorting mail and packages, photocopying, faxing, scanning); and data management (entering and validating information, identifying discrepancies, following up to meet quality standards). This position may support any of the three Calgary locations (ACH, RRDTC, or CWC). Strong understanding of department workflows, relationship-building skills, and the ability to learn a complex role with limited direction are essential for success.
Description:As an Administrative Support III, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
Completion of Grade 12 or equivalent.
Additional Required Qualifications:Proficiency with IM/IT systems including Zoom and Microsoft applications is required. Experience troubleshooting equipment such as printers, faxes, and PCs is essential. The role requires the ability to sit, type, and use a mouse for extended periods, as well as stand for prolonged durations. Candidates must be able to lift items from floor to above shoulder height, and safely lift up to 50 lbs on a regular basis. Physical ability to twist, bend, squat, kneel, push, pull, and climb ladders is also required. Demonstrated attention to detail and accuracy, a learning mindset, and flexibility are essential. Candidates must be able to manage priorities in a noisy, fast-paced environment with frequent interruptions, and show strong capacity to work independently, make decisions, and solve problems. Strong proficiency in both written and spoken English is required.
Preferred Qualifications:Prior administrative experience managing charts and paper records, including chart scanning / Health Information Management. Experience supporting complex pre- and post-clinic workflows including referral/follow-up and waitlist management; chart management (both paper and electronic); and adhering to multifaceted work-flow processes and procedures.
