Salary: The salary range for this position is CAD $24.76 - $26.38 / hour

Job Summary

Reporting to the Office Coordinator, this position provides administrative support to the Urgent Care Response Centre (UCRC), a community outpatient centre supporting adults in crisis with mental health and substance use concerns. The role involves front desk reception, registration, appointment scheduling, maintaining client records, and supporting clients and their families through a client-centred approach. The position requires effective communication, teamwork, and organizational skills.

Responsibilities
  1. Perform reception duties, operate multi-line switchboards, register patients, book appointments, and handle inquiries.
  2. Prepare correspondence, reports, and maintain client and administrative files.
  3. Enter and update data in computerized systems, generate reports.
  4. Maintain filing systems, process mail and courier documents.
  5. Assist with staffing and timekeeping functions.
  6. Support clients to feel safe and comfortable, offering refreshments and guidance.
  7. Manage office supplies and organize workspace.
  8. Arrange meetings, book rooms, and record minutes.
  9. Operate and maintain office equipment.
  10. Liaise with external health and social service organizations.
  11. Provide call centre support as needed.
  12. Perform other related duties as assigned.
Qualifications

Education and Experience: Grade 12, completion of a Medical Office Assistant diploma, plus one year of recent office/clerical experience or equivalent.

Skills and Abilities: Typing 50 wpm, effective communication, teamwork, conflict resolution, judgment, organization, initiative, computer proficiency, knowledge of iPHIS, confidentiality, and physical ability to perform duties.
