Detailed Overview

Reporting to the Office Coordinator, this position provides administrative day-to-day support to the Urgent Care Response Centre (UCRC). The UCRC is a community outpatient centre that supports adults in crisis with mental health and substance use concerns requiring urgent care but not hospitalization, and provides coordinated 'one-stop' services including assessment, initiation of treatment, crisis stabilization management, and facilitation of connection to appropriate care services. The UCRC promotes rapid engagement in the provision of consistent, relevant, and timely delivery of client and family-centered care.

As the first point of contact with clients and their families, you will ensure a safe and welcoming environment through a positive, customer-service and client-focused approach, including support of client comforts. You will work collaboratively within an interdisciplinary team-based model of care. Your duties will include front desk reception, registering new clients, booking appointments and referrals, establishing and maintaining charts and organization, maintaining databases, typing materials, setting up and maintaining filing systems, processing mail, faxes, reports, and documents, arranging meetings, and operating office equipment. You may also transcribe dictated reports and provide stenography services as required. As part of the team, you will support clients and their families in navigating the healthcare system.

Responsibilities
  • Provide reception services, operate multi-line switchboards, register new patients, book appointments, follow up on referrals and diagnostic tests, answer calls, take messages, and provide information about the UCRC. Contact other organizations as needed.
  • Perform administrative duties such as preparing correspondence, reports, and documents, inputting client information, maintaining registers, and preparing informational/resource packages for patients and families.
  • Collect and enter data into computerized systems, ensuring data accuracy and retrieving reports as needed.
  • Maintain client and administrative filing systems, ensuring confidentiality, and organize records systematically.
  • Process mail, faxes, reports, and courier documents, including sorting and distributing mail and preparing outgoing shipments.
  • Assist with staffing and timekeeping functions, including tracking hours and reviewing timesheets.
  • Create a welcoming environment for clients, supporting their comfort and safety.
  • Manage office supplies, organize workspace, and arrange meetings and events, including booking rooms and catering, and recording minutes.
  • Operate office equipment and perform minor maintenance, referring complex issues to the Office Coordinator.
  • Liaise with healthcare and social service organizations to provide program information.
  • Support call center operations by managing incoming calls and directing them appropriately.
  • Perform other related duties as assigned.
Qualifications
Education and Experience

Grade 12, plus completion of a Medical Office Assistant diploma, and one year of recent related office/clerical experience, or an equivalent combination of education, training, and experience.

  • Type at 50 wpm.
  • Effective verbal and written communication in English.
  • Ability to work well within a multidisciplinary team and be proactive.
  • Strong interpersonal skills and conflict management abilities.
  • Sound judgment and organizational skills.
  • Ability to work independently and collaboratively.
  • Proficiency with applicable computer hardware and software.
  • Knowledge of iPHIS and general office practices.
  • Understanding of relevant acts, regulations, and policies.
  • Physical ability to perform the duties required.
