Detailed Overview

The role involves performing a variety of administrative support duties such as word processing, dictation, data entry, and record management. Responsibilities include answering calls, receiving visitors/clients, responding to inquiries, managing mail, operating office equipment, placing purchase orders, maintaining petty cash, and supporting staffing and timekeeping duties.

Responsibilities
  • Perform word processing and data entry, maintaining client information and preparing correspondence and reports.
  • Assist with client intake, scheduling, and maintaining appointment records, ensuring confidentiality and security.
  • Complete dictations and transcribe reports.
  • Maintain client data and compile statistical reports.
  • Manage records and files, liaising with other offices as needed.
  • Handle reception duties, including answering calls, relaying messages, and greeting visitors.
  • Arrange meetings and maintain the tidiness of the reception area.
  • Coordinate equipment and building services, and manage mail and courier documents.
  • Operate office equipment and perform minor maintenance tasks.
  • Place purchase orders, verify vouchers, and maintain office supplies and manuals.
  • Support staffing and timekeeping, including calling relief staff and reviewing timesheets.
  • Process service authorizations and perform other related duties as assigned.
Qualifications
Education and Experience

Grade 12, Office Administration Certificate, plus one year of recent, related experience, or an equivalent combination of education, training, and experience.

Skills and Abilities
  • Knowledge of office procedures and medical terminology.
  • Business writing skills and ability to type at 45 wpm.
  • Effective communication skills, both verbal and written.
  • Ability to establish rapport with clients and work independently or collaboratively.
  • Organizational and prioritization skills.
  • Ability to operate related equipment and perform physical tasks as required.
