Overview

POSITION SUMMARY: This position provides administrative support to the Nephrology and specialty clinics in the Kidney Urinary program. Serving as a liaison with patients, other departments/hospitals, staff and outside agencies, the incumbent ensures that all operational functions of the clinic are handled with efficiency, professionalism, and confidentiality. This position may be required to work out of the Brantford Satellite Clinic.

Qualifications
  • Completion of a 2-year post secondary program in medical office administration.
  • Medical terminology certificate
  • Over 6 months and up to one year providing administrative support in a hospital clinic setting
  • Intermediate skill level in MSWord, MSExcel, data entry, typing, medical spelling and spelling.
  • Clerical testing may be required as part of the selection process.
  • Ability to communicate effectively and tactfully, both in person and by telephone.
  • Maintain excellent interpersonal relationships while handling multiple tasks, frequent interruptions and stressful situations.
  • Demonstrated ability to work effectively in a busy interdisciplinary environment, displaying a pleasant, courteous disposition.
  • Good work performance and a good attendance record are essential.

Responsibilities
  • Schedules patient appointments and referrals, booking any required or follow-up tests/procedures through appropriate departments (e.g. blood work, phlebotomies, biopsy, x-ray, ultrasounds).
  • Prepares clinic charts for each day, ensuring that all pertinent patient information is charted and stamped correctly (e.g. bloodwork, progress notes, prescriptions).
  • Triages incoming calls to clinic and unscheduled visits, answering immediate concerns, and referring other calls as required. This includes mail distribution and faxes.
  • Ensures all filing is up to date for clinic appointments and required chart abstraction complete.
  • Performs patient follow-up for any missed appointments.
  • Completes weekly clinic statistics and monthly census reports.
  • Orders all clinic and office supplies following departmental processes.
  • Obligation to review and commit to applicable departmental and hospital policies and procedures.
  • Assists with other clinic duties as delegated by the Nurse Manager.
  • All other duties as assigned.
