Job Summary :

Trane in Dartmouth, NS is hiring a Sales Support and Office Administrative Specialist. Under supervision, this role supports routine administrative functions for the service sales process, working with Account Managers, Administrative Assistants, and staff to meet customer needs.

This is a 12-month contract opportunity.

Where is the work :

This position offers a Hybrid work schedule with onsite work 3 days a week.

What you will do :

  • Follow established processes, utilizing enterprise systems.
  • Manage booking processes including commission splits, fulfillment, and contracting.
  • Coordinate project transitions from Sales to Operations within enterprise systems.
  • Assist with proposal generation and project documentation.
  • Update Salesforce with relevant customer and sales information.
  • Create and submit bid packages to customers.
  • Issue Certificates of Insurance (COI) for service customers.
  • Collaborate on legal contract review and maintenance.
  • Perform additional administrative tasks as needed.
  • Work flexibility for overtime/weekends as required.

Sales Support :

  • Assist with estimating, quotes, proposals, and order entry.
  • Support effective use of Salesforce and compliance.
  • Help with bid documentation and tender submissions.
  • Record correspondence, meeting minutes, and issues.
  • Generate reports and update databases.
  • Coordinate project transition from sales to service.
  • Assist with logistics for customer meetings and events, including setup, catering, attendance tracking, and follow-ups.
  • Manage memberships for Atlantic offices.
  • Support marketing activities, including swag orders, event registration, and social media posts.

Office Administrative Specialist :

  • Organize repairs, payments, and vendor contacts.
  • Manage P-Card and purchase orders.
  • Handle shipping, receiving, and mail distribution.
  • Monitor business inbox and coordinate emails.
  • Participate in office events and holiday parties.
  • Order office equipment and update security systems.
  • Maintain phone trees and coordinate mobile/internet services.
  • Download and issue safety certificates.
  • Set up new vendors in Windchill.

What you will bring :

  • High School diploma or GED, with up to 3 years of related experience or equivalent.
  • At least 2 years of experience in a Windows environment with advanced MS Office skills.
  • Strong communication, proactive, and able to work independently or in a team.
  • Highly organized with a sense of urgency.
  • Ability to prioritize and meet deadlines in a fast-paced environment.
  • Problem-solving, decision-making, and good judgment skills.
  • Familiarity with HVAC systems is a plus, not required.
  • Flexibility for overtime/weekends as needed.
