Reporting to the Senior Vice-President of Operations

Your mission : to support, structure and advance legal files.

Working directly with the Senior Vice President, you will play a central role in the administrative management of the legal department. On a daily basis, you will be the point of contact for organizing information, ensuring follow-ups, producing quality documents and maintaining impeccable organization.

What you'll do :

Manage the department's administrative files methodically and efficiently.

Write, revise and format various documents (letters, presentations, etc.)

Carry out basic research to support file preparation

Ensure structured document management and follow-up of shared e-mails

Provide direct support to the Vice-President in managing her agenda, e-mails and meetings

Follow-up with internal and external parties, and coordinate the collection of signatures

Manage invoice approvals and processing

Support paralegals in renewing permits and licenses

And also :

Act as resource person for various clerical and coordination tasks

  • One (1) year experience in a similar position.
  • Ability to communicate effectively, professionally and courteously, both orally and in writing.
  • Ability to follow up on files with minimal supervision.
  • Strong attention to detail.
  • Ability to manage time and files effectively to meet tight deadlines.
  • Ability to work effectively in a fast-paced environment.
  • Very good knowledge of Microsoft Office suite (Word, Excel, PowerPoint).
  • Good knowledge of OpenText software.
  • Bilingualism (French and English).
