Summary

We are seeking an Administrative Manager to join our team at South Island Mechanical Ltd. This role is essential in ensuring the smooth and efficient daily operations of our administrative functions and supporting our mission to provide superior HVAC services. The Administrative Manager will oversee daily office activities, manage the administrative team, provide support to the COO, and maintain efficient data management (Bookkeeping, Reconciling etc).

Responsibilities

Includes, but is not limited to:

  • Oversee daily administrative operations and ensure efficient office management.
  • Manage customer inquiries and provide exceptional customer service.
  • Maintain accurate data entry and record-keeping practices.
  • Utilize QuickBooks for financial tracking and reporting and data entry.
  • Coordinate communication between departments to enhance workflow efficiency.
  • Full-Cycle Bookkeeping (Reconciling; banking, credit card, GL accounts)
  • Processing Payroll for both salaried and Union/Hourly employees
  • HR Assistance with Onboarding, ROEs, Exiting
  • Joint Health & Safety Committee (Secretary, Management Rep)
  • Administrative Support as needed
  • Union UA516 Facilitator
  • CRA/Government Reporting (GST, Payroll, WorkSafe, BCeht)
  • Accounts Payable

Requirements

  • Proven experience in an administrative role, preferably in the HVAC or service industry.
  • Proven experience as an Administration Manager, Office Manager or similar Role.
  • Proven experience with bookkeeping, reconciling accounts, financial forecasting and budgeting
  • Excellent communication, organizational, and problem-solving skills.
  • Proficiency in QuickBooks, Google Workspace and Mac (Numbers/Pages) and other office software applications.
  • Excellent relationship management skills and emotional intelligence
  • Ability to manage multiple tasks effectively in a fast-paced environment.
  • Ability to work collaboratively and effectively with team members at all levels
  • Bachelor’s degree in Business Administration, Management, or a related field (preferred).
  • PCP Payroll Designation (preferred)
