Description

Ops & IS Services within UCalgary Continuing Education is currently seeking a Recurring Part-time Administrative & Financial Assistant.

The Administrative & Financial Assistant reports to the Director of Business Operations and supports the accounting team in daily operations that follow the financial requirements of the department and the institution. The incumbent will work with a dynamic, interdisciplinary team of professionals dedicated to the educational needs and goals of the students who participate in courses and programs of study

This is a recurring part-time position, the average hours of work per week are between 15-20, which may increase or decrease, dependent on business cycles.

Summary of Key Responsibilities (job functions include but are not limited to):

Accounts Payable Processing and Financial Administration

  • Processes student/company cheque requisition refunds via PeopleSoft Accounts Payable system.
  • Processes Homestay payments via PeopleSoft Accounts Payable system.
  • Upload payment documents to PeopleSoft accounts payable module for voucher creation.
  • Create daily/monthly deposit sheets.
  • Process cellular phone payments.
  • Process telecommunication work orders and staff directory updates with Voice Services department.
  • Coordinate Continuing Education contact list.
  • Perform Cash & Cheque deposit by end of month.
  • Provide vacation backup.

Vendor Payments and Tuition Support Processing

  • Run Tuition Support Payment report and prepare journal entry to transfer tuition support revenue from Human Resources to Continuing Education.
  • Process vendor invoice payments through PeopleSoft eProcurement module.
  • Submit new supplier requests and account re-activations to the Accounts Payable department.

Qualifications / Requirements:

  • Post Secondary Certificate/Diploma/Degree in Accounting/Finance and related financial/accounting work-experience will be considered.
  • Excellent knowledge of MS Excel and experience with accounting software.
  • Experience with PeopleSoft Financial module is an asset.
  • Strong knowledge of bookkeeping with analytical skills and ability to work under strict deadlines.
  • Detail-oriented, ability to make decisions and possess flexibility to adapt to the changing needs of the environment.
  • Highly organized and proficient at handling a significant number of tasks, duties, and activities; with meticulous attention to detail.
  • Must work with a sense of urgency and demonstrate flexibility to prioritize and perform work effectively under pressure.
