Job description

The Society of Obstetricians and Gynaecologists of Canada (SOGC) is the national voice for women’s health in Canada with a mission to lead the advancement of women’s health through excellence and collaborative professional practice.

The SOGC is seeking a Administrative Specialist to support the Chief Scientific Officer (CSO) and the team. Since 1944, the SOGC has been a leading authority on sexual and reproductive health, developing clinical practice guidelines, hosting educational meetings, and coordinating academic programs for medical students, residents, and health professionals.

Responsibilities:
  1. Ensure the efficient day-to-day operation of the CSO's office and support team activities.
  2. Assist with corporate management and the Canadian Foundation for Women’s Health as needed.
  3. Store and organize scientific references, generate citations and bibliographies.
  4. Prepare and maintain documents using Microsoft Word and Excel.
  5. Enter data into databases and maintain team documents, including budget tracking and accounts.
  6. Oversee organization of the team’s SharePoint site.
  7. Prepare surveys, doodle polls, and schedule meetings.
  8. Reconcile VISA expenses and process expense claims.
  9. Perform other duties as assigned by the CSO.
Qualifications:
  1. College diploma or equivalent with at least 3 years of relevant experience.
  2. Proficiency in Microsoft Office Suite (SharePoint, Excel, Outlook, Word, PowerPoint, Teams, Planner).
  3. Excellent command of English; strong writing skills.
  4. Ability to work in French is an asset.
  5. Basic knowledge of healthcare and research is an asset.
  6. Knowledge of project management software is an asset.
  7. Ability to work weekends and overtime.
