Job description

The Opportunity

Keyano College’s School of Business is currently seeking an Administrative Coordinator to join their dynamic team. This position is integral to supporting students’ academic success, college research endeavors, and the shared responsibility across functional units to foster that success. The Administrative Coordinator also provides reception and general administrative support as well as records management to the departments.

Note: this is not a remote or hybrid work opportunity, you will be required to work on campus and relocate to Fort McMurray, AB.

Duties & Responsibilities

  • Coordinating the administrative functions of the office and providing support in coordination with the Program Support Administrator
  • Providing accurate information about college programs and services, and making appropriate referrals within and outside the School of Business, University Studies and Academic Upgrading
  • Responding to inquiries from instructors and staff, resolving issues as needed, and informing the Dean of the situation and any decisions made or needed for resolution.
  • Assisting the Dean and Chairs in the budgeting process and tracking expenses and variance.
  • Collecting workloads from Chairs, reviewing for completeness, submitting to the Dean for approval, distributing copies as needed, and revising workloads in consultation with Chairs if necessary
  • Supporting new staff and instructors during onboarding, ensuring contract instructors receive necessary information and complete the employee checklist.
  • Assisting the Program Chairs and Dean in the budgeting process and tracking expenses and variance
  • Conducting research and compiling information for the Dean as requested.
  • Supporting the Program Support Administrator with Strategic Enrolment Management
  • Supporting the Program Support Administrator with Marketing and Communication
  • Maintaining schedules and overseeing travel arrangements for the Program Chairs and Dean
  • Drawing or uploading information to and from different applications such as FMWWeb, MyAvanti or PowerCampus.
  • Other duties as may be required.

Qualifications

  • A Bachelor's Degree in Business Administration, Public Administration or Data Analytics with a minimum of 3 years of directly related experience working in an administrative setting and supporting complex administrative operations
  • Experience working in an administrative setting, supporting complex initiatives and working with multiple stakeholders
  • Experience working with data management and visualization software such as MS Excel and PowerBI
  • Strong organizational, interpersonal, communication and problem solving skills
  • Excellent customer service and relationship building skills
  • Ability to multitask and work in a busy environment with constant interruptions
  • Experience in dealing with FOIP and confidential documents.

Please note that if your education was received internationally, upon hire we will require you to provide an international education assessment completed through WES, IQAS or one of the other IRCC approved designated organization.

Compensation And Benefits

  • Compensation is $62,850.72 (CUPE AS7) with the following health and benefit package.
  • Employer paid comprehensive health and dental benefits, including a health spending account.
  • Generous defined benefit pension plan though LAPP starting on day 1 of employment.
  • This position qualifies for additional payment of the Northern Living Allowance of $1,040.00 per month.
