Job description

Basic Purpose of Position:

To provide administrative support to the Director, and team, Line Maintenance while consistently ensuring a high level of confidentiality. The most important part of the job is to coordinate and participate in line maintenance related activities as required, to ensure a high level of knowledge.

Key Responsibilities:

  1. Maintain, update, and manage calendar for Director, Line Maintenance.
  2. Provide support to the Administrative Coordinator, Line and Labour Relations, as well as support Administrative Assistants, Line Maintenance and Jazz Technical Services (JTS).
  3. Schedule meetings, book rooms, and take minutes for select meetings.
  4. Arrange hotel bookings, travel, and car rentals when required.
  5. Assist with assignments, presentations, and reports when needed.
  6. Update Kronos (time & attendance) exceptions for ATS and Management group, as well as assist with Toronto (YYZ) union payroll.
  7. Create vacation schedules for select managers and supervisors.
  8. Assist in managing parking and visitors’ badges for visitors at YYZ Offices.
  9. Fire warden for Airways Centre building, which includes training and participation in test fire drills.
  10. ATS Occupational Safety & Health (OSH) representative at the local level in YYZ. Attend monthly meetings, take minutes, update the matrix and correspond with team members.
  11. Monitor and manage Uniform Inbox and follow through on queries, requests and reports.
  12. Assist, attend and participate in Maintenance and corporate Jazz events.
  13. Posting Maintenance Memos on JazzNet when requested by departments and review and update procedures and assist with training.
  14. Create and update banners on the Maintenance and Engineering page.
  15. Order and monitor supplies.
  16. Other related duties as assigned.
  17. Perform duties in accordance with established policies and procedures while giving primary consideration to personal safety, and the safety of co-workers and customers.
