Basic Purpose Of Position
To provide administrative support to the Director of Technical Services and Engineering and the team while ensuring the highest level of confidentiality. Coordinate and participate in department meetings and activities to ensure efficiency and effectiveness within the organization.
Key Responsibilities
- Prepare information files for Technical Services and Engineering Director’s meetings and distribute documentation to participants in advance as required.
- Produce correspondence, operational, and departmental reports for all Technical Services managers.
- Compile weekly reports submitted by departmental managers, ensuring information is concise and accurate.
- Assist with onboarding and offboarding of employees, supporting the manager as necessary.
- Provide administrative support to all groups within the Technical Services and Engineering teams.
- Organize and arrange weekly, quarterly, and yearly meetings, presentations, and related functions.
- Prepare and maintain minutes and action logs as required.
- Maintain, update, and modify spreadsheets and access databases related to operational, departmental objectives, and project milestones.
- Code invoices using finance management software (Ariba / Trax).
- Process payroll through the time and attendance management system for all groups.
- Create, maintain, and update work schedules for all groups within Technical Services and Engineering.
- Provide research and project assistance to the Director of Technical Services & Engineering.
- Undertake special projects as assigned.
- Follow up with direct reports for information requested from departmental managers.
- Liaise with direct reports on project statuses, operational mandates, and objectives.
- Perform other related duties as assigned.
- Ensure duties are performed in accordance with policies and procedures, prioritizing safety for all.
- Serve as a backup for other administrative coordinators as needed.
Qualifications
- Post-secondary degree/diploma in Office Administration or related field.
- Minimum of 3 years of experience in an office environment.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational and time management skills.
- High attention to detail and accuracy.
- Ability to work independently and compile project information.
- Problem-solving skills and adaptability in a dynamic environment.
- Maintain professionalism and confidentiality at all times.
- Team-oriented with a focus on collaboration.
