Salary: Administration 14 Salaries typically range from $57,048 - $76,065 annually plus a performance-based incentive.

Location: FinDev Canada headquarters is in downtown Montreal. For the right candidate, Ottawa or Toronto will be considered, with the flexibility to work under a hybrid model (home/office).

Position & Team Overview

FinDev Canada is seeking a self-motivated and passionate Administrative Coordinator to support Teams across FinDev Canada. This is an exciting opportunity for a results-oriented and client-focused team member to contribute to an organization that supports development through the private sector across emerging markets and developing economies.

As an Administrative Coordinator at FinDev Canada, you will apply your experience, skills, and knowledge to help support the organization in various capacities. The role is focused on administrative support and general co-ordination of key office functions noted above.

What You Will Be Doing

  • Provide administrative services to various teams, including, but not limited to, handling correspondence, managing workflows, routing information, preparing documents and spreadsheet management.
  • Create purchase requisitions, process invoices and expense claims for payment.
  • Co-ordinate and administer team activities and events: logistics, arranging relevant materials and technology, catering arrangements.
  • Co-ordinate international and domestic travel arrangements: airline and hotel reservations, visa arrangements, preparation of travel expense claims at the conclusion of travel.
  • Manage translation requests.
  • Refine presentations and spreadsheets with graphics, and other tasks as required.
  • Assist with ongoing project work.
  • Identify, enhance, and follow specific processes and procedures to maximize the efficiencies of office workflows.
  • Develop and maintain job aids and other administrative procedures related to improving the efficiency of operations at FinDev Canada.

What We Are Looking For

Must-haves

  • Completion of secondary school
  • Minimum 3 years’ administrative experience in an office setting, including calendar management, email, budget management, purchase orders, invoices, event coordination and information management.
  • Bilingual in both official languages (English and French).
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, MS Teams, Outlook and other related programs).
  • Strong organizational skills.
  • Strong business acumen, self-sufficient, energetic with exceptional customer service and multi-tasking skills.
  • Strong written and spoken communication skills with the ability to communicate effectively at all levels of the organization, including senior management.
  • Proactive, flexible, and motivated problem-solver with innovative ideas to improve efficiency in office procedures.

Nice-to-Haves

  • Completion of Undergraduate degree.
  • Administrative/Executive Assistant training.
  • Knowledge and/or experience with SharePoint.
  • Knowledge of and commitment to sustainable development.
  • Experience working in a financial institution.
