Job description

The Society of Obstetricians and Gynaecologists of Canada (SOGC) is the national voice for women’s health in Canada, with a mission to lead the advancement of women’s health through excellence and collaborative professional practice. We work with midwives and allied health professionals in the field of sexual and reproductive health. Since 1944, the SOGC has been a leading national and international authority on sexual and reproductive health, providing evidence-based training and education.

Our activities include developing 12–17 clinical practice guidelines per year, hosting three regional continuing medical education meetings, and hosting an Annual Clinical and Scientific Conference. We also coordinate and host in-person and virtual academic programs for participants at all stages of their careers, including medical students, residents, and practicing health professionals.

Position: Administrative Specialist

Reporting to the Chief Scientific Officer, the Administrative Specialist ensures the efficient day-to-day operation of the CSO's office and supports team members. The role also involves assisting corporate management and the Canadian Foundation for Women’s Health as needed.

  1. Store and organize scientific references, generate citations and bibliographies.
  2. Prepare and maintain documents using Microsoft Word and Excel.
  3. Enter data into databases.
  4. Maintain team documents, including budget coding, tracking, and managing accounts and passwords.
  5. Oversee organization of the team’s SharePoint site.
  6. Prepare surveys, doodle polls, and schedule meetings for the CSO and team.
  7. Reconcile VISA expenses.
  8. Prepare, track, and process expense claims.
  9. Perform other duties as needed by the Chief Scientific Officer.
Qualifications:
  • College diploma or equivalent, with at least 3 years of relevant work experience.
  • Proficient in Microsoft Office (SharePoint, Excel, Outlook, Word, PowerPoint, Teams, Planner).
  • Excellent command of the English language; strong writing skills.
  • Ability to work in French is an asset.
  • Basic knowledge of healthcare and research is an asset.
  • Knowledge of project management software is an asset.
  • Ability to work weekends and overtime.
