As an integral part of the Department of Anesthesia and Pain Medicine, you will provide onsite administrative support with an impact on the clinical and academic operations of the Department. The successful candidate must be sufficiently skilled to support complex administrative tasks and proactively solve issues and make recommendations to ensure the day-to-day administrative operations of the Department run smoothly.
Administrative Accountabilities
Here's What You Will Get to Do:
- Maintain Physician Faculty calendars; schedule and confirm appointments, anticipate time conflicts, and use judgement to reschedule meetings or appointments according to changes in priority;
- Maintain Faculty CVs and provide other administrative support to Faculty,
- Maintain various internal lists and schedules, including the Emergency Activation lists and the On Call schedule;
- Arrange meetings, internal and external small and large scale events; coordinate bookings, catering, audio visual and equipment, as required;
- Prepare and distribute meeting agendas and minutes;
- Coordinate virtual national rounds;
- Update the Department Website, as required;
- Provide ongoing support and coverage for other coordinators within the Department;
- Coordinate and oversee administrative projects from draft to implementation/completion;
- Assist with travel bookings, as needed;
- Act as day-to-day onsite point person for operational requirements for the Department.
Professional Accountabilities
- Develop strong relationships and communicate with multiple-level contacts across several portfolios and throughout the Hospital to exchange/ report/ analyze moderately complex information;
- Independently respond and collaborate with other areas to problem-solve/resolve conflicts and roadblocks, and independently or collaboratively propose solutions;
- Respond to questions and concerns in a timely fashion.
Here's What You Will Need
- Senior-level administrative experience required, experience in a similar health care setting an asset
- Excellent organizational skills and the ability to work in a fast-paced work environment with many interruptions and multiple priorities;
- Strong attention to detail and high level of accuracy in completion of administrative tasks;
- Advanced administrative analytical, evaluative, and problem-solving skills;
- Demonstrated ability to prioritize work in an efficient and organized manner;
- Advanced proficiency in all current Microsoft Office applications (Teams, Outlook, Word, Excel, PowerPoint), and ability to learn new software to perform duties of the role
- Advanced interpersonal, oral, and written communication skills;
- Ability to work well independently, as well as in a team environment;
- Exceptional problem-solving skills with the ability to exercise discretion and confidentiality;
- Self-motivation and ability to be proactive;
- A commitment to understanding and aiding in the pursuit of equity, diversity and inclusion objectives.
Employment type: Full-time Permanent, Hybrid, 3 days (Monday, Wednesday, Friday) onsite
