DESCRIPTION DU POSTE

Under the supervision of the Director of Operations, the incumbent is responsible for supporting the entire management team for providing administrative, operations and human resources support.

Administrative support

  • Be a resource person and provide administrative support to the entire management team :
  • Classifying,
  • Generate memos, emails and reports as needed.
  • Maintain the office supply inventory,
  • Coordinate all travel arrangements and reservations.
  • Respond to telephone and e-mail inquiries and forward telephone calls and messages and perform other receptionist duties as needed.
  • Collaborate in the preparation of meetings and any other projects.
  • Ensure equipment operation by completing preventive maintenance requirements; call for repairs; maintain equipment inventories; evaluate new equipment and techniques.
  • Manage the cleaning company.

Operations support

  • Sending samples to client :
  • Prepare sample, documents and transportation.
  • Follow up on sent samples.
  • Reporting
  • Order samples from suppliers and maintain inventory.
  • Receive and manage purchase orders from clients by providing personalized customer service :
  • Analyze important information on client orders.
  • Transfer client information to sales.
  • Maintain employee leave records :
  • Vacation requests
  • Report LOA to payroll
  • Support into the organization of social activities.

Execute any other tasks required by the nature of this function.

QUALIFICATIONS

  • Possess relevant work experience in a job in administration or in an office, or an equivalent training;
  • Minimum of two (2) years of experience.
  • Extensive knowledge of MS Office products (Power Point, Excel and Word)
  • Fluent in English and French (written and spoken)
  • Detailed oriented
  • Strong time and priorities management
  • Possess great communication and interpersonal skills.
  • Have a team spirit;
  • Demonstrate meticulousness, rigor and organization.
  • Demonstrate intrinsic motivation and initiative;
  • Resourceful and autonomous.
