Job description

Ashcroft Terminal and the PSA Group are seeking an Administrative Coordinatorto join our growing team!

As the only private logistics terminal in Canada with CPKC & CN mainlines onsite, ATL is strategically located to help shippers, manufacturers, and producers prepare their commodities for export or import. As a member of PSA International, Ashcroft Terminal is part of a global network of supply chain professionals!

In the position of Administrative Coordinator,the successful candidate will support day-to-day administrative and accounting operations for the terminal.

In this position, you will be responsible for:

  • Managing front-desk operations, including answering incoming calls, greeting visitors, and handling incoming/outgoing mail and courier deliveries.
  • Maintaining organized and up-to-date filing systems, both digital and physical, to support operational efficiency.
  • Supporting the day-to-day administrative needs of the office, including monitoring and ordering office supplies, and general upkeep.
  • Preparing, updating, and maintaining internal tracking sheets, operational records, and administrative documentation.
  • Assisting with health and safety program support, including tracking training records, inspection logs, and safety documentation.
  • Preparing and distributing safety-related reports and coordinating follow-up on corrective actions.
  • Coordinating interdepartmental safety communication and ensuring document control and compliance readiness.
  • Supporting rail and scale documentation, including accurate data entry, reconciliation, and coordination with logistics staff.
  • Collaborating with internal stakeholders to ensure consistent, timely communication and support for operational needs.
  • Providing coverage and continuity across multiple administrative functions as required.

For success in this role, you must have:

  • Grade 12 education or equivalent.
  • A minimum of one year of office experience.
  • Experience in logistics, transportation or dispatching is considered an asset.
