Administrative Clerk, Correctional Health Services

BC Mental Health & Substance Use Services

Location: Oliver, BC

What you'll do
  1. Schedule and book client appointments and follow-up appointments, including interdisciplinary appointments, adjusting arrangements in accordance with client and centre requirements, and notifying clinicians and BC Corrections staff to ensure appropriate date, time, and location are provided.
  2. Register and admit clients into PAC or Health Care Record, ensuring client demographics and appropriate information are complete and accurate, and follow up with appropriate clinicians or BC Corrections staff as necessary. Advise appropriate clinicians that the patient has arrived.
  3. Perform referral functions, including checking to ensure that all required information is complete, gathering additional/missing information, performing data entry, sending out client questionnaires, and processing related paperwork.
  4. Maintain a variety of records through data entry, collating information, maintaining log sheets, and client statistics. Follow up with appropriate team members as necessary.
  5. Type and distribute various technical and non-technical materials such as correspondence, reports, notices, agendas, and meeting minutes, utilizing various computerized word processing and spreadsheet software packages.
  6. Perform receptionist and clerical duties including answering telephones, responding to inquiries, obtaining patient files, greeting clients, printing daily schedules, and forwarding complex queries to appropriate personnel.
  7. Provide clerical and general administrative support to the Health Care Manager and the department by performing tasks such as booking meetings, circulating action items, filing, routing paperwork, opening and forwarding mail, faxing, photocopying, preparing mailers, arranging for courier, and ordering standard office supplies.
  8. Perform other related duties as assigned.

What you bring

Qualifications
  1. Grade 12, plus two (2) years' recent experience, or an equivalent combination of education, training, and experience.
  1. Demonstrate comprehensive knowledge of the impacts of settler colonialism and systemic racism on Indigenous Peoples within social and health contexts, including commitment to identifying and challenging Indigenous-specific racism.
  2. Knowledge and understanding of legislative obligations and provincial commitments within BC Mental Health & Substance Use Services contexts, including foundational documents such as the Truth & Reconciliation Commission's Calls to Action.

Core Competencies
  1. Understanding of Indigenous-specific racism and broader systemic racism in the colonial health care structure, with demonstrated leadership in breaking down barriers.
  2. Commitment to ongoing education on Indigenous health issues, cultural safety, and DEI principles.

Skills & Knowledge
  1. Ability to keyboard 40 w.p.m.
  2. Knowledge of medical terminology.
  3. Effective verbal and written communication skills.
  4. Ability to deal with others effectively.
  5. Organizational skills.
  6. Ability to operate related equipment.
  7. Physical ability to carry out the duties of the position.
