Job summary

A prominent recruitment agency is seeking an Administrative Assistant to manage data entry, maintain records, and ensure accuracy in documentation. The ideal candidate will possess 1-3 years of experience in administrative roles, particularly in finance, and demonstrate proficiency in Microsoft Office, especially Excel. Strong attention to detail and the ability to communicate effectively in English are essential.

Job description

In this role, you will:

  • Perform administrative duties such as data entry, record-keeping, filing, organizing documents and files, and ensuring accuracy.
  • Update records, trackers and databases, cross-reference various records, and produce relevant reports.
  • Identify, and escalate as appropriate, discrepancies and irregularities in records.
  • Liaise with internal personnel and external vendors to address gaps in documentation.
  • Assist in internal reviews, providing requested documentation and resolving discrepancies when needed.

What we are looking for:

  • Qualifications include a minimum of 1-3 years' experience and a 1-2 year post-secondary certification/diploma, or less experience if combined with a 3-year college diploma or university degree and/or an equivalent combination of education and experience.
  • Proficiency in standard computer applications (Microsoft Office Suite) including intermediate Excel proficiency.
  • Experience in clerical or administrative roles, particularly in finance.
  • Fluency in English is required; French is an asset.

Working Conditions:

  • Regular requirement for a high level of detail/precision.
  • Extended work hours and work outside of regular business hours may be required during emergencies
