Job Title: Administrative AssociateJob Description

We are seeking an Administrative Associate to perform receptionist duties, manage incoming and outgoing calls, and efficiently send emails while scheduling appointments. The role requires daily use of MS Office for administrative purposes and encompasses office responsibilities such as ordering supplies, including personal protective equipment (PPE). Regular checking of incoming faxes and emails is essential, along with partnering with the nurse in the office for medical appointments and calendar coordination.

Responsibilities

  • Perform receptionist duties and manage incoming and outgoing calls.
  • Send emails and schedule appointments efficiently.
  • Utilize MS Office daily for administrative tasks.
  • Order office supplies, including personal protective equipment (PPE).
  • Regularly check incoming faxes and emails.
  • Collaborate with the nurse for medical appointments and calendar coordination.
Essential Skills
  • Strong customer service and administrative support skills.
  • Proficiency in data entry and front desk operations.
  • Advanced knowledge of Microsoft Office suite, including Excel, Outlook, and Word.
  • Excellent communication skills.
  • Understanding of medical terminology and health care procedures.
  • Ability to schedule patient appointments and manage outgoing calls.
Additional Skills & Qualifications
  • High School diploma.
  • Experience as an office assistant, receptionist, or office administrator.
  • Nice to have: Experience as a medical administrator or medical office assistant.
  • Diploma in Medical Administration is a plus.
  • Background as a receptionist in a healthcare facility or SPA is advantageous.
Work Environment

This position is located in the office, Monday to Friday, with a schedule from 8:30 am to 4:30 pm, totaling 37.5 hours per week. The dress code is business casual. Free parking is available on-site. The office is situated next to one of their clinics, and there are four nurses based in the office who are frequently on the road.

Pay and Benefits

The pay range for this position is $18.00 - $20.00/hr.
