Job summary

Guillevin International Co. in Whitehorse, Yukon is seeking an Administrative Associate for a regular, full-time role. The position requires strong organization, independence, and the ability to prioritize in a fast-paced environment.

You will manage email and scheduling, billing, accounts receivable and payable, calls, mail, petty cash, and deposits. You’ll learn the company’s operations, products and suppliers while supporting daily administrative tasks and occasional events.

Responsibilities

  • Manage email and scheduling for the manager.
  • Record billing and track accounts receivable.
  • Handle day-to-day calls and mail for the business centre.
  • Balance petty cash and make deposits.
  • Process accounts payable and freight claims.
  • Support events and coordinate occasional projects.
  • Identify administrative improvements for efficiency.
  • Learn operations, products and suppliers and become proficient with systems.

Do you have what we're looking for? Work experience in administrative support and customer service. Well-organized, resourceful and an independent learner. Adaptable and able to prioritize. Strong computer and writing skills, good spelling.

Challenges awaiting you: Support the manager by performing all administrative tasks: manage email and scheduling, manage billing, track and update accounts receivable. Manage day-to-day calls and redirect them to the right person as required, process the business centre's mail, balance the petty cash, make deposits, manage accounts payable, process freight claims and daily delivery summaries. Inform the manager of any administrative anomalies and recommend improvements to ensure that administrative processes are reliable and efficient. Work with the team to fully understand the business centre's operations, familiarize yourself with products and suppliers, and become proficient with the systems in use. Inventory control Coordinate occasional events or projects: shows, customer events, etc.
