Job Description

Salary Range: $37.95 - $45.18

Position Summary:

Reporting to the Vice President of Clinical Programs, this dynamic and highly motivated individual will provide comprehensive administrative support to the Vice President of Clinical Programs/Chief Nursing Executive, as well as the Clinical Programs. The successful candidate will demonstrate a high degree of initiative, autonomy, and sound judgment, with exemplary customer service skills being essential. Responsibilities will include providing confidential administrative support, coordination of schedules, projects and meetings as well as direct accountability for some projects within the clinical office.The successful candidate manages competing demands effectively, coordinates all project, operational and administrative activities, including prioritization of matters requiring attention, necessary follow-up and reporting on active issues as required. The ability to anticipate and solve problems is required.

This position contributes to ensuring there is a safe environment for patients, staff and visitors. We are searching for an administrative professional with a proven track record of delivering exemplary customer service in our fast paced and dynamic environment.

Duties will include, but are not limited to:

  • Assists the Vice President Clinical Programs/Chief Nursing Executive and Clinical Programs with administrative duties and support.
  • Provides administrative support to Quality Committee of the Board of Directors
  • Liaises and works with the various departments within the portfolios providing support, contribution to projects, reports and data collection.
  • Coordinates information and correspondence distribution.
  • Prepares and/or summarizes reports and prepares background materials through data collection and analytics.
  • Composes and prepares confidential correspondence, reports, and other complex documents.
  • Creates and maintains reports and excel spreadsheet files.
  • Responsible for word processing, data entry, filing and photocopying of both general and confidential documentation.
  • Assists with program operations and projects as required and coordinates meetings and events.
  • Supports various task forces/committees.
  • Directs preparation of records such as agenda, minutes, and resolutions for corporate meetings
  • Collaborates with other administrative personnel for cross coverage and support as required.
  • Updates procedures, systems and processes as required.
  • Manages expenses

Skills and Qualifications:

  • Post secondary degree or diploma complemented by an administrative studies or recognized office management program required
  • 5-7 years’ senior administrative experience
  • Experience in a fast-paced healthcare environment an asset.
  • Superior skills in computers, specifically Word, Excel, Power Point and Access, and report writing skills required.
  • Excellent planning and organizational skills are required.
  • Exceptional communication skills (both written and verbal) and interpersonal skills including presentation and development
  • Demonstrates a high level of personal and professional integrity.
  • Ability to work independently with minimal supervision and collaboratively with team members.
  • Exhibits a positive attitude, strong work ethic, and decision-making ability.
  • A proactive approach to problem solving and building positive relationships.
  • Multi-tasking strengths to respond to a variety of requests for information and assistance, correspondence, reports, creating and maintaining files, monitors supplies and aiding in the improving the work flow
  • Excellent time management and ability to prioritize multiple projects and adjust workload accordingly to meet ever changing deadlines while maintaining a high level of confidentiality and accuracy.
  • Strong team approach, commitment to quality care, and the ability to facilitate change, partner and strive to achieve results.
  • High degree of organization, self-motivation and accountability
  • Ability to deal with concerns/issues affecting staff, physicians, volunteers, students, programs and services by phone and in person, confidentially and professionally
