The Opportunity :

Reporting to the Assistant Head, Student Experience, 9-10, the Administrative Assistant will bring their administrative expertise to supporting the Assistant Head and the student related activities in the Senior and Middle School. The Assistant prepares documentation, coordinates and manages the Assistant Head’s calendar, supports Senior and Middle School assemblies, assists with attendance and related follow up, and supports events such as, inter school events, curriculum night, and course selection. In addition the successful candidate will support the publication of the school’s internal employee newsletter, as well as student generated publications.

This is a full-time, full-year role working in the Senior School and providing support in other areas of the school as needed.

Key Accountabilities include, but are not limited to :

Prepare documents, letters, meeting minutes and other materials for the Assistant Head, Student Experience, 9-10

Coordinate and manage the Assistant Head’s calendar and meeting invitations

Assist with the organization of meetings and events including room bookings / function requests, work orders, and food requests as needed

Assist with tracking, updating, and monitoring spaces and room inventory.

Reconcile credit card charges and provide assistance with the tracking budget items and submitting supporting documents to the Business Office for reimbursement

Be available to students and visitors to support and respond to inquiries

Monitor and follow up on Student Attendance and outstanding queries with students and parents, including accuracy of school forms, form collections, etc. and liaison with parents and students as needed

Create and update weekly community communications such as TV presentations, bulletin boards, Friday File East and Road Ahead

Handle confidential student information and assist with updating and the maintenance of the various databases, including student records (i.e. ManageBac and the Portal)

Create data summaries and reports from dashboards and databases

Provide logistical support to Grade Level Leadership, Student Council, Slogan and Perennial teams, COSSOT events, and other groups as needed

Other administrative tasks as required

Candidate Profile :

Related post-secondary training

3+ years’ experience supporting a leader in an administrative capacity

Experience in an academic environment is considered an asset

Experience in managing calendars and meeting logistics, using tracking spreadsheets and databases

Interest in and ability to interact positively with students, faculty, parents, supervisors and peers;

Excellent oral and written communication and planning skills;

Self-directed with ability to manage time with overlapping priorities;

Able to exercise discretion maintain confidentiality

Solution oriented with the ability to anticipate needs;

Excellent understanding of Microsoft Office Suite and Google Suite (and Student Information Systems is an asset)

An understanding of various systems and knowledge of running reports on platforms (e.g. attendance, demographic)

Target Hiring Range : $48,545.64 - $60,601.32
