Job description

Executive Wealth Advisors of Raymond James is hiring a full-time (40 hours) experienced Administrative Assistant/Receptionist. Raymond James Ltd. is one of Canada’s leading full-service independent investment dealers offering high-quality investment products and services to Canadians seeking customized solutions to their wealth management needs.

You will assist the Branch Administrator in managing the office. You will provide comprehensive support to the branch team, and clients. This is an hourly full-time position with the opportunity for growth and advancement, with competency and securities licensing exams.

Specifically, you will:

  • Greet clients, answer phone, route callers, take messages, and respond to general inquiries, both in person and on the phone;
  • Schedule meetings with clients and industry representatives;
  • Provide administrative support to Financial Advisors and the broader team;
  • Process client documentation and requests such as funds transfers, account updates, bank deposits, account openings;
  • Maintain a high level of confidentiality and discretion with client information;
  • Ensure compliance with industry regulations and internal policies;
  • Maintain stationery and supply levels;
  • Open and distribute all mail;
  • Perform project-based work for office team;
  • Assist in developing and implementing work process documentation;
  • Prepare monthly client cards to be mailed;
  • Assist in maintaining contact database using CRM and client database software;
  • Prepare boardroom for meetings;
  • Manage additional monthly and quarterly administrative tasks;
  • Perform light housekeeping duties including decorating the office seasonally, watering plants, putting out garbage/recycling weekly;

To qualify for this opportunity, you possess:

  • Exceptional client service skills;
  • Neat and organized demeanor;
  • Able to manage several responsibilities at once;
  • Proficiency with MS Word, Excel, and Outlook;
  • Excellent communication skills;
  • Knowledge and understanding of registered account types and general financial terms;
  • Experience in Financial Services Industry preferred.

In addition, you:

  • Are able to manage multiple tasks and changing priorities;
  • Are a self-starter and possess good problem-solving skills;
  • Have excellent time management skills;
  • Are willing to work in a dynamic ‘team’ environment;
  • Able to navigate a variety of personalities;
  • This position is open to advancement, with Canadian Securities licensing.
