The Opportunity
Reporting directly to the Lead Administrative Coordinator, this role is responsible for providing direct administrative support to the Director, Policy and Strategic Planning division and Planning team. You will collaborate with other administrative staff under the guidance of the Lead Administrative Coordinator on departmental initiatives. You will be responsible for coordinating schedules, supporting divisional projects, and managing a wide range of administrative duties across the Planning & Development department.
As the Administrative Assistant, Planning, you will perform the following duties, including but not limited to:
- Assist the Director and managers with scheduling, meeting agendas, minutes, correspondence, and other tasks
- Coordinate divisional meetings, events, open houses, and training sessions
- Support Freedom of Information requests and file/document management
- Process customer payments and coordinate bookings, registrations, and reservations
- Assist with research, background materials, and by-law preparations
- Order office supplies and provide back-up support for other administrative staff as needed
- Manage financial transactions including P-Card processing, coding invoices, and handling vendor-related tasks
The Ideal Candidate
We are seeking a detail-oriented professional with a post-secondary diploma in Business Administration or a closely related field. Our ideal candidate has 1-3 years of administrative experience and demonstrated customer service excellence.
The ideal candidate will have demonstrated strong organizational and problem-solving skills. We are seeking an individual with superior communication skills, a demonstrated ability to work independently and collaboratively, and excellent computer skills, particularly with Microsoft Office. Experience in a municipal environment and familiarity with AMANDA software are considered assets.
The successful candidate for Administrative Assistant, Planning will be required to work a flexible schedule, including in the office, remotely and after hours (as required).
This position offers a salary range of $60,948.01 to $76,185.02 plus a competitive benefit package.
