Job description

We are seeking an Office Coordinator to support our Owen Sound Office team. As a key member of our dynamic professional team our ideal candidate will be highly organized, an energetic problem solver that is happy to help with a friendly enthusiastic interpersonal style.

  • Welcomes customers and guests in a professional and friendly manner.
  • Responsible for front office traffic, phones, and packages.
  • Oversee office operations : inventory, order supplies, maintenance, organization, scheduling etc.
  • Ensures the office is fully stocked and ready to go with supplies.
  • Support for materials testing and inspection (lab) services including shipping and receiving of samples and preparing associated reports.
  • Senior Management Team and Staff support : assist team of professionals with miscellaneous administrative tasks.
  • Prepare, copy and distribute memos, letters, payment certificates, submission packages on behalf of the company.
  • Work within spreadsheets to populate project databases
  • Project and proposal support : review, edit, and format extensive documents.
  • Scan documents for archiving
  • Event planning, coordination, and hosting.
  • Shipping & receiving.
  • Meeting coordination : reserve space, set up AV, order food, room setup and cleanup etc.
  • Onboarding new employees
  • Support for human resources

Minimum Qualifications

  • 1-5 years of related administrative / office co-ordination experience.
  • Positive and professional work attitude
  • Computer savvy and technical troubleshooting.
  • Must be able to work independently as well as in groups.
  • Detail oriented
  • Knowledge in MS Word, Excel, Power Point, Microsoft Teams and Adobe Acrobat.
  • Excellent grammar, writing, formatting and editing skills.
  • Valid driver’s license.
  • Previous experience in an engineering / planning firm would be an asset.
  • Bachelor’s degree / diploma in business administration, marketing, or similar preferred.
  • Human resources experience is an asset
  • Physical and environmental requirements for this position are available upon request.

Other Details :

  • Full-Time (Monday to Friday 40 hour / week)
  • Pay DOE.
