Reports to: Senior Coordinator, Programs and Operations / Northern Ontario Lead, Ontario CultureDays

Organization:Ontario Culture Days (ONCD)

Employment Type:Full-Time, 4 month Limited-Term Contract (31 hours/week). Possibility for extension.

Location:Hybrid with regular in-person work at our Sault Ste. Marie office

Start Date:May 26, 2025 (or earlier, based on availability)

Compensation:$23.50 CAD per hour

Contract Duration:Limited-term, with potential for renewal

Position Overview

We are seeking a detail-oriented, collaborative, and arts-focused individual to fill the role of Administrative Assistant, Northern Ontario. This full-time contract position supports the administrative processes, organizational operations, and database development in support of Ontario Culture Days programs and operations.

Key Responsibilities

This Ontario Culture Days (ONCD) role supports administrative processes, organizational operations, and database development.Responsibilities include:

Administrative Support

  • Managing logistical and administrative tasks in support of operational activities and strategic initiatives.
  • Creating presentation materials and supporting documents to assist with revenue generation.
  • Supporting contract and Letter of Agreement (LOA) management.
  • Collecting and reviewing shared content, identifying issues across teams, partners, or platforms, and resolving them promptly.Documenting and archiving arts, culture, and heritage activities across the province.
  • Support the maintenance of operational processes, procedures and policy standards.
  • Performing general administrative tasks as needed.
  • Addressing and resolving issues in a timely and professional manner.
  • Data Management and Grant Support
  • Supporting the implementation and standardization of software.
  • Assisting with external and internal data management, including data input, transfer, collection, organization, analysis, and reporting.
  • Supporting the development of operational processes and procedure standards for CRM use and internal staff software.
  • Supporting the design and implementation of surveys.
  • Supporting research for grant applications.
  • Copy editing and tracking applications and reports.

Event & Program Support

  • Help coordinate logistics for public events, art installations, and community activations.
  • Provide day-of support at key festival events (materials, signage, customer service, volunteer support)
  • Support the development and transport of festival-related artwork and materials.
  • Assist in the documentation of events and programs (photos, descriptions, records)

Required Qualifications

  • 1–2 years of experience working in arts administration,
  • Post-secondary education in fine arts, arts administration, or related fields
  • Strong written and verbal communication skills
  • Proficiency in Google Workspace
  • Ability to work independently and collaboratively in a remote team environment

Preferred Assets

  • Experience in administrative processes and organizational operations
  • Familiarity with Ontario’s diverse cultural communities and equity-driven arts practices
  • Multilingualism and/or lived experience within equity-deserving groups
  • Driver’s license
