Job description

We are looking for an Administrative Assistant, reporting to the Director, NPD Off-Road Manufacturing, Logistics and Manufacturing Strategy, to provide administrative support to him and his team. In this role, you will maintain the agenda of the Director and the sector's governing bodies. You will be an indispensable resource for all the department's various administrative requests and improvements.

YOU’LL HAVE THE OPPORTUNITY TO:
  • Coordinate budget phases and support managers in managing their respective budgets;
  • Prepare meeting invitations, reports, and presentations;
  • Manage the Director's agenda daily;
  • Book travel and complete expense reports for team members;
  • Welcome and onboard new employees (access requests, equipment, policies, etc.);
  • Coordinate technical logistics for events like workshops;
  • Follow up on purchase requests;
  • Manage confidential documents and information;
  • Collaborate with other administrative assistants to ensure team cohesion and share best practices;
  • Support various projects as needed.
YOU’LL THRIVE IN THIS ROLE IF YOU HAVE THE FOLLOWING SKILLS AND QUALITIES:
  • College diploma (DEC) in secretarial, office automation, or relevant training;
  • Fluency in French and English;
  • At least 3 years of relevant experience;
  • Interest or experience in budget management;
  • Ability to learn quickly and anticipate needs;
  • Strong multi-tasking and prioritization skills;
  • Resourcefulness and autonomy;
  • Attention to detail and thoroughness;
  • Team spirit and adaptability in a dynamic environment;
  • Proficiency in Microsoft Office and Google Suite.
