Overview

The Administrative Assistant supports the Executive Management team. The ideal candidate will possess excellent communication skills and advanced proficiency in Microsoft Office, particularly Excel. This role extends beyond typical administrative duties and requires someone who can work closely with senior leadership, exercise sound judgment, and handle sensitive information with discretion.

Responsibilities
  • Provide direct administrative support to Executive Management, including preparing reports, presentations, and other business documents.
  • Gather, analyze, and prepare data in Excel to support executive decision-making.
  • Draft, review, and proofread correspondence, proposals, and reports with a high level of accuracy.
  • Support project coordination by managing documentation, timelines, and communication.
  • Coordinate and manage executive calendars, meetings, and appointments.
  • Assist with office organization and administrative processes.
  • Maintain confidentiality of sensitive business information at all times.
  • Liaise with internal teams and external stakeholders in a professional and courteous manner.
  • Perform other related duties as required to support the Executive Management team.
Requirements
  • Post-secondary education in business administration, office management, or a related field preferred.
  • 3+ years of experience in an administrative role supporting senior or executive-level management.
  • Engineering-related education or experience is considered an asset.
  • Proficiency in Microsoft Office Suite, with advanced skills in Excel.
  • Exceptional written and verbal communication skills in English.
  • High attention to detail, reliability, and professionalism.
