Canada Summer Jobs (CSJ) - Administrative Assistant I

Canada Summer Jobs (CSJ) is a program under the Youth Employment and Skills Strategy (YESS), aimed at providing quality summer employment opportunities for youth to develop skills and gain paid work experience for a successful transition into the labour market.

Eligibility:

  • Be between 15 and 30 years of age at the beginning of the employment period
  • Be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment
  • Have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada according to relevant provincial or territorial legislation

Job Summary:

The Administrative Assistant I provides administrative support to assist VON in delivering quality service to the public. Acts as a resource for the site management team and other staff by managing correspondence, creating and formatting documents, and performing related duties.

Key Responsibilities:

  1. Respond to general inquiries via phone and in person, greeting visitors and directing them appropriately.
  2. Manage incoming and outgoing correspondence, including mail and email.
  3. Schedule and organize meetings and appointments.
  4. Prepare correspondence, reports, memos, brochures, and other documents.
  5. Assist in newsletter production and standardize administrative processes.
  6. Maintain filing systems ensuring accuracy, security, and confidentiality.
  7. Update policies, procedures, and manuals as needed.
  8. Generate reports, statistics, and data as required.
  9. Order and inventory supplies.
  10. Coordinate logistics for projects, events, and seminars.
  11. Handle donations and bill payments, including bank deposits.
  12. Perform other related duties as assigned.

Relationships:

  • Regular communication with employees, managers, and corporate services staff.

Qualifications:

  • Post-secondary education in office administration, information technology, or related experience.
  • Proficiency in Windows OS and MS Office Suite.
  • Experience with scheduling software and Cognos is an asset.
  • Experience in unionized environments is an asset.

Working Conditions:

This role involves detailed-oriented work in a dynamic environment, including physical activities such as lifting, carrying, bending, reaching, and climbing stairs. Tasks require walking, sitting, standing, and fine hand movements throughout the day.
