Are you an organized and detail-oriented individual looking for an impactful support role We are seeking a dedicated Administrative Assistant to join our retirement consulting group. As an essential member of our team you will play a key role in facilitating smooth operations and enhancing client experiences. Your responsibilities will include preparing invoices and managing the billing process managing schedules coordinating meetings handling communications and assisting with the preparation of client materials. With your excellent organizational skills proactive approach and ability to multitask you will contribute significantly to our teams efficiency and effectiveness. What youll do

Prepare and enter invoices into our Workday system ensuring timely follow-up.

Compose and send written correspondence; arrange couriers.

Proofread and format reports and client materials.

Create and print PowerPoint presentations; arrange AV equipment.

Transcribe documents from notes and voice messages.

Attend meetings take and distribute minutes.

Maintain and update CRM database; generate reports.

Provide general administrative support (faxing photocopying scanning filing archiving and ordering supplies).

Open sort and distribute group mail.

Manage office equipment and coordinate with IT for functionality.

Organize senior leaders schedules and manage calendars.

Send meeting invitations organize facilities and order food / beverages.

Coordinate onboarding and logistics for new hires.

Assist with membership renewals conference registrations and travel arrangements.

Submit expenses and track budget purchase orders and expenses.

Devise ways to improve team operations.

Assist with special projects as required.

You have

A two-year diploma in Business or Office Administration is preferred along with 2-3 years of experience as an administrative assistant.

Proficiency in Microsoft 365 (Word Excel PowerPoint Teams) and Google Workspace (Docs Sheets Slides Drive) is essential. Strong digital literacy including experience with Adobe Acrobat cloud-based collaboration tools and video conferencing platforms is required. Familiarity with online research tools databases and CRM systems is necessary; experience with Workday and Salesforce is a strong asset. Managing hybrid-platform environments is a plus.

Strong mathematical skills are essential and comfort with accounting principles is beneficial.
