Description:

Reporting to the Director, Human Resources, the incumbent is responsible for a high level of confidential administrative support to the Human Resources department including a combination of reception and administrative functions and executive assistant support for the Director, Human Resources.

Responsibilities include being the first point of contact for the department, receiving and directing inquiries in person, via email and on the phone, in addition to providing project, event and logistical support. The incumbent is responsible for managing the Director’s calendar, maintaining a system of operational records, generating routine reports and materials, and tracking financials for the department.

The Administrative Assistant will also be responsible for managing the office and is expected to work with limited direction, executing a significant amount of judgement, tact, diplomacy, confidentiality, and discretion in all aspects of the role. The incumbent must maintain an in-depth understanding of the priorities of the Director and the Human Resources team. The incumbent must present respectfully by interacting knowledgeably and courteously with a variety of individuals including senior administrators, faculty, staff, students, librarians, and community members who come into contact with Human Resources.

The incumbent works in a complex environment that requires a high degree of sensitivity, responsiveness, and a need to maintain absolute confidentiality. The incumbent must be a highly motivated and flexible individual who enjoys the challenge of working in a dynamic environment.

Required Qualifications:

Education:

Post-secondary degree or diploma or acceptable equivalent combination of education and experience. Course work in Human Resources, CHRP designation or in pursuit of a CHRP designation is an asset.

Experience:

Minimum of two (2) to three (3) years of administrative assistant experience preferably in a human resources department or an educational institution. Experience planning and coordinating projects and events is strongly preferred. General knowledge of Human Resources legislation,policies and procedures an asset.

Skills:

Proficient with Microsoft Office (including Outlook, Work, Excel and PowerPoint),; excellent verbal and written communication skills and organizational skills; accurate keyboarding skills; working knowledge of HRIS (Human Resource Information System), FIS (Financial Information System), USource, Drupal/website content management systems preferred.

Other:

Strong client service orientation and excellent interpersonal skills; accurate and attentive to detail; demonstrated ability to write clear and concise correspondence; ability to work independently but is also a strong team player; demonstrated initiative; demonstrated judgment, tact, discretion and ability to handle complex matters of a sensitive and confidential nature; ability to manage and organize multiple priorities; ability to work under pressure and meet deadlines.
