Job summary

Sinai Health is hiring an Administrative Assistant for its Department of Surgery. This role requires strong administrative skills to support clinicians by scheduling appointments, maintaining patient files, and ensuring smooth operations within a busy clinical environment. Qualifications

  • Proven experience with EMRs and booking systems; equivalent recent training may be considered.
  • Proficiency with medical terminology and dictation is preferred.

Responsibilities

  • Schedule patient appointments for clinics or procedures.
  • Maintain physicians' calendars and schedules; process dictated clinical notes.
  • Provide public relations support to walk-in and telephone clients.

Job Description

Sinai Health is looking for an Administrative Assistant to support our Department of Surgery.

The Administrative Assistant is a key part of a busy clinical practice within the Department of Surgery at Mount Sinai Hospital. You will exercise sound judgment and independence in managing administrative activities, demonstrating a commitment to quality customer service, problem-solving, and communication skills to support the success of physicians' clinical practices.

In this role you will:
  • Schedule patient appointments for clinics or procedures
  • Review and transfer messages to physicians with patient charts for follow-up; prepare charts for new referrals
  • Retrieve and release information documents from patient charts for communication with other physicians and prepare charts for rounds
  • Maintain physicians' calendars and schedules; process dictated clinical notes
  • Update physician’s Wait List in the organizational data entry system (Novari)
  • Create forms, tables, spreadsheets to capture monthly statistics
  • Provide public relations support to walk-in and telephone clients with friendly and informative service
  • Collaborate with other administrative staff
  • Maintain relationships with several institutions
  • Perform other administrative duties as assigned, such as filing incoming e-fax documents
Job Requirements

Mandatory:

  • Successful completion of a college diploma from an accredited institution
  • Minimum of two (2) years of related experience, preferably in a clinic/health environment
  • Proven experience with EMRs and booking systems; equivalent recent training may be considered

Preferred:

  • College diploma in Medical Office or Business Administration
  • Proficiency with medical terminology and dictation
  • Experience with ACCURO EMR
Skills and Knowledge
  • Proficiency in Microsoft Word, Excel, PowerPoint, Outlook
  • Strong work ethic, positive attitude, professionalism, dependability, and customer service focus
  • Excellent communication and interpersonal skills
  • Time management, organizational, and self-planning skills; flexibility to adapt to priorities
  • Ability to exercise good judgment, discretion, and handle confidential information
  • Satisfactory work performance and attendance record
