Job description

Job Description:

The RM of St. François Xavier is currently accepting applications for the position of Administrative Assistant – Finance & Administration. This is a permanent, 35 hour per week full-time position.

Working in a collaborative municipal environment, the successful candidate will serve as a front-line customer service representative and play a key role in supporting the RM’s finance team.

Responsibilities include processing accounts payable and receivable, assisting with payroll, responding to resident inquiries, and supporting the administration of the RM’s water/sewer and fibre utility services. Additional duties include updating the municipal website and digital community sign, and providing general administrative support as required.

Key Responsibilities:

  • Provide professional customer service to residents in person, by phone, and by email.
  • Process payments and inquiries related to taxes, utilities, and fibre services.
  • Prepare utility billings and account adjustments for water, sewer, and fibre.
  • Assist with accounts payable entry, coding, cheque runs, and reconciliation.
  • Support bi-weekly payroll processing and records management.
  • Update the RM website and digital community sign with current notices.
  • Maintain accurate financial records and filing systems.
  • Assist with front desk reception and clerical duties.
  • Perform other duties as assigned.

Qualifications:

  • Grade 12 diploma; post-secondary training in office administration, accounting, or finance is an asset.
  • A minimum of two (2) years’ experience in a municipal, financial, or customer service role.
  • Proficiency in Microsoft Office (Word, Excel, Outlook); experience with Muniware or municipal software is an asset.
  • Strong written and verbal communication skills and attention to detail.
  • Ability to work independently and as part of a team.
  • Experience in payroll and website content management is an asset.
  • A satisfactory Criminal Record Check is required.

The Rural Municipality of St. François Xavier offers a competitive compensation package, including 100% employer-paid extended health benefits, participation in the Municipal Employees Pension Plan, and enrollment in the Municipal Employees Benefits Program. The RM also provides a supportive work environment with a strong focus on professional development. The current salary range for this position is $26.74 to $31.13 per hour, commensurate with qualifications and experience.
