Responsibilities

Position Summary:

The Administrative Assistant (Finance) provides administrative and organizational support to the Finance and other departments to ensure efficient operations. The role involves assisting in executing programs, policies, and procedures in compliance with provincial, federal, corporate, and client regulations.

Key Responsibilities & Accountabilities:

This list is not exhaustive but highlights the essential functions of the role. The Administrative Assistant should be able to perform the following tasks:

  • Assist with daily human resources and finance activities, including recruitment, onboarding, benefits, payroll, and accounts payable.
  • Collaborate with department managers to meet needs, communicate policies, and process documentation timely.
  • Manage employee health, dental, pension enrollments, changes, and terminations, updating relevant systems.
  • Reconcile billing and invoices, perform audits, and coordinate with Accounts Payable for payments.
  • Create and distribute communication materials about benefit plans.
  • Maintain and update employee data in HR and other systems.
  • Coordinate employee changes with payroll.
  • Assist with employee engagement activities, including administering surveys.
  • Support non-occupational claims management, liaising with employees and operations.
  • Assist with workplace accommodations and labor relations as needed.
  • Attend meetings, record minutes, and ensure protocol compliance.
  • Handle confidential documents securely.
  • Draft business correspondence and reports.
  • Respond to information requests.
  • Coordinate meetings, travel, and events.
  • Develop and distribute reports, update databases, and perform data entry.
  • Manage supplies, including inventory checks, orders, and invoices.
  • Assist with inventory management and periodic stock counts.
  • Support special projects and backup other departments when necessary.
  • Maintain confidentiality and demonstrate professionalism and safety awareness.
  • Ensure consistent attendance and punctuality.
  • Perform other duties as assigned.

Working Conditions:

The role is primarily office-based, involving sitting, standing, walking, and light physical activities. Occasional exposure to fumes, gases, solvents, and chemicals may occur. After-hours availability may be required in emergencies or other situations.

Qualifications

Qualifications:

  • Post-secondary degree/diploma in business administration, human resources, finance, or related field, or equivalent experience.
  • Experience supporting finance and other departments administratively.
  • Familiarity with Accounts Payable and Payroll systems (ADP preferred).
  • Proficiency in Microsoft Office applications.
  • Ability to pass a criminal background check.

  • Mathematical and analytical skills applicable to payroll, accounts, and HR.
  • Detail-oriented and capable of working in a fast-paced environment.

  • Highly organized with the ability to manage multiple projects.
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively.
  • Effective communication with all departments and the public.
  • Ability to work under general supervision.
