Faculty Development and Continuing Professional and Practice Development (CPPD) in the Department of Psychiatry supports the advancement of academic and clinical excellence across our community. Faculty Development focuseson strengthening the academic skills and career development of faculty members. CPPD focuses on improving mental health care and outcomes in our academic and broader healthcare communities through innovative education programming and context/system interventions. Together, these areas deliver a wide range of in-person and virtual programming that support academic growth and enhances clinical knowledge within the Department and the communities it serves.

As the Administrative Assistant, Faculty Development, CPPD, you will play a central role in the successful delivery of our programs and events. From supporting logistics for workshops and conferences to maintaining digital content, and preparing key communication, your work will help ensure smooth execution and a positive experience for participants and stakeholders.

You will serve as the first point of contact for general inquiries and provide administrative support, including meeting scheduling, drafting routine documents, and coordinating project tasks. Your strong initiative, organization, and communication skills will be key to success in this role.

Your responsibilities will include:



-Acting as the first point of contact for general inquiries, including escalating problems as required
-Coordinating tasks for projects and other strategic initiatives in collaboration with stakeholders
-Supporting the planning and delivery of programs and/or events by coordinating logistics such as venue booking, catering and registration activities
-Maintaining an event and programming calendar and ensuring follow-up on action items
-Drafting and editing a range of routine documents and correspondence; Creating and updating content for brochures, newsletters, websites, and/or handbooks
-Taking and distributing meeting minutes
-Preparing expense reimbursements; Maintaining accurate records and digital information systems
-Handling sensitive and/or confidential information


Essential Qualifications:



-Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
-Minimum three (3) years of relevant project or event coordination experience within a health care or academic environment.
-Demonstrated experience determining logistical details and activities for in-person and virtual events or programming.
-Strong writing and editing skills for professional communications, including digital and print materials.
-Experience taking meeting minutes.
-Proficiency preparing expense reimbursements.
-Excellent verbal and written communication skills.
-Strong interpersonal and organizational skills, with attention to detail and accuracy.
-Proven ability to manage multiple priorities and deliver high quality work in an environment of overlapping time-sensitive tasks.
-Customer service oriented, with a professional and collaborative approach.
-Demonstrated ability to work both independently and as part of a team.
