We are now hiring an Administrative Assistant to work with us.
Responsibilities:
- Provide comprehensive administrative support to the laboratory staff and management, including handling correspondence, scheduling appointments, and managing communications.
- Maintain accurate and organized records of client interactions, laboratory activities, and regulatory compliance for reporting and auditing purposes.
- Prepare and edit documents, reports, and presentations with a high degree of accuracy and professionalism.
- Check and order office equipment and supplies, ensuring proper maintenance and functionality.
- Assist in office procedures such as handling confidential information with discretion and ensure compliance with data protection policies and regulations.
- Communicate efficiently with clients via email or call regarding laboratory testing and service inquiries, ensuring all information is clear and accurately conveyed internally and followed up on.
- Act as the primary point of contact for clients, addressing inquiries and concerns promptly and professionally and convey the information internally.
- Schedule and coordinate meetings, appointments, and travel arrangements for laboratory staff.
- Assist in the preparation of regular reports and summaries for management review.
- Provide administrative support for special projects and initiatives, contributing to the continuous improvement of laboratory services.
- Ensure that all samples are received in compliance with Ministry of Environment Canada regulatory requirements and promptly communicate any deficiencies to the client.
- Prepare bottle orders and coordinate logistics services for clients, ensuring timely and efficient delivery of materials and services.
- Assist with various administrative tasks, including distributing analytical reports, compiling EDD files, editing invoices, and managing the Laboratory Information Management System (LIMS).
- Bachelor’s degree
- 1-2 years of related work experience
- Good understanding software (Excel, Word, PowerPoint, Aquis etc.)
- Education in Environmental Science considered as an asset
- Well-developed interpersonal and relationship building skills
- Excellent time management and organization skills
