Job Description

This is a Temporary Part‑Time Position for 1 year

Sinai Health is looking to hire an administrative professional to provide critical support to our emergency physicians at Mount Sinai Hospital.

About this team:

Mount Sinai Hospital’s recently redeveloped Schwartz/Reisman Emergency Centre is a leader in specialized emergency care within the areas of geriatric medicine, mental health care, and early pregnancy care. With approximately 61,000 annual visits, we deliver safe, high‑quality, emergency care to the critically ill or injured patients we serve within the community.

The 24,000‑square‑foot space features medical procedure rooms with ceiling‑suspended booms to maximize space, assessment rooms for medical and surgical specialties, a resuscitation room, along with airborne‑isolation rooms and a negative‑pressure zone for infection control. We have dedicated spaces for specialized services within the department such as ophthalmology and dentistry, Medical Imaging (CT scan and X‑ray rooms), and a dedicated behavioural suite for our interprofessional Psychiatry Emergency Service team to assess and plan treatment for patients with mental health or addiction concerns. Our EMS entrance on University Ave helps streamline patient arrivals, enabling faster emergency response.

In this role you will:
  • Complement and support our existing full‑time admin
  • Provide administrative, logistical, and communications support to the Emergency Department physician leadership, physicians, nurse practitioners and physician assistants
  • Provide office management, billing and practice support
  • Sort and distribute billing sheets, mail and faxed documents
  • Communicate with and assist patients with billing and non‑medical issues
  • Collaborate with our billing agent to deliver relevant documents on schedule
  • Track and assist with collecting non‑OHIP payments including out‑of‑province, WSIB etc.
  • Assist with invoicing and processing of payments
  • Provide scheduling and other administrative support as needed
  • Order and manage office supplies, ensure that supplies are stocked and that our workspace is kept in an orderly state
  • Assist the Chief, deputy chief, leads and other leaders with administrative tasks
  • Maintain updated records for our team
  • Booking of meeting spaces and events
  • Assist with onboarding of new physicians including hospital credentialing and faculty appointments
  • Assist with applications for faculty promotion, grants and other university‑related administrative work
  • Track physician appointments at the hospital and university
  • Track shift overtime and scheduling changes
  • Provide scheduling, communication and other administrative support as needed
  • Collaborate to ensure learners are properly registered at Sinai Health
  • Communicate with incoming and outgoing learners and coordinate learner schedules
  • Set up and take down our classroom for educational sessions
  • Perform other duties consistent with the job classification as required
Job Requirements

Mandatory

  • Successful completion of a college diploma in a related field from an accredited educational institution
  • 2 years of related experience in administrative support role
  • Applicants with equivalent recent and related training and experience may be considered
Preferred
  • Previous experience working within a clinic/healthcare environment with exposure to medical terminology
Skills and Knowledge
  • Proficient in Microsoft Office: Word, Excel, Outlook, PowerPoint, Copilot, Teams; Zoom
  • Understanding of the use of AI tools to improve efficiency
  • Superior work ethic, professionalism, resourcefulness, dependability, reliability and diplomacy
  • Maintains highest level of ethical standards and confidentiality related to patient information, personal health information, and other sensitive information/data
  • Strong time management, organizational and self‑planning skills; displaying flexibility by adjusting work schedule according to changing priorities, meeting deadlines and producing high quality work
  • Demonstrated ability to work collaboratively as a team member
  • Excellent problem solving skills with the ability to prioritize competing demands
  • Proven ability to make decisions, exercise judgment and take initiative in dealing with confidential information and/or in responding to time sensitive inquiries, both clinical and academic/administrative
  • Flexible with ability to work efficiently in a fast‑paced, multitasking and dynamic environment
  • Demonstrated satisfactory work performance and attendance history
