Job description

Do you have experience and education in Office Administration and experience providing exceptional customer service? Do you have strong written and verbal communication skills, keen attention to detail, and the ability to be self-motivated?

If so, we want you on our Development Services team!

As the successful candidate, you will provide support services related to the day-to-day operation of Planning and Inspection Services and assist with activities and projects to support the Department's mandate.

In Your Role, You Will
  1. Provide front-line service for Development Services including:
  • Front counter reception, telephone, and email inquiries (ensure inquiries are directed and addressed promptly).
  • Respond to inquiries and complaints by providing information regarding regulations, bylaws, and legislation.
  • Provide information on development applications, building permits, and business licenses.
  • Support staff and clients by scheduling appointments for pre-application meetings and assessing inquiries to provide guidance and information accordingly.
  • Prepare and distribute correspondence.
  • Provide administrative support to Development Services including:
    • Receive and process applications, permits, and licenses.
    • Draft bylaws and referrals.
    • Research sections of bylaws, BC Building Code, and Local Government Act.
    • Manage records.
    • Track invoices, bills, collections, contracts, and bonds.
    • Process invoice coding and cost centers.
    • Enter monthly purchase card information.
    • Assemble monthly statistics.
    • Organize department meetings, agendas, and PowerPoint presentations.
    • Record minutes.
  • Related responsibilities include:
    • Organize public hearings, prepare, and circulate notices, agendas, and advertisements.
    • Prepare referrals by researching, gathering information, and drafting materials.
    • Support members of Regional Board committees (e.g., PAC, AAC, and ECAC), including attending evening meetings.
    • Issue civic address records for new properties and clarify existing addresses.
    • File Land Title documentation.
    • Undertake projects or initiatives assigned by the Director or Manager.

    The ideal candidate will have a certificate or diploma in Office Administration and at least 1 year of experience. You should be customer service-focused with good judgment, strong organization and time management skills, and proficient in MS Word, Excel, Outlook, and PowerPoint. Knowledge of Vadim, City Reporter, ArcMap, and Adobe is an asset. Excellent communication and interpersonal skills, along with the ability to work within a team environment, are essential.

    This is a CUPE Local 338, full-time, permanent position with a schedule of Monday to Friday, 8:00 am to 4:00 pm. The hourly wage is $35.27.
