Position: Administrative Assistant, Development and Alumni Engagement, Science

Location: Burnaby, British Columbia, Canada

Type: Part-time, 50%

Salary Range: $4,449.00 - $4,676.00 CAD Monthly

Job Summary

The Administrative Assistant provides administrative and secretarial support to the Development and Alumni Engagement (DAE) team in the Faculty of Science Dean’s Office. Responsibilities include coordinating donation processing, maintaining donor and alumni databases, handling financial processes, supporting event logistics, and general office support. The role requires excellent organizational skills, attention to detail, initiative, and professionalism in a high-volume environment.

Key Responsibilities
  • Process donations and financial commitments, ensuring accuracy and compliance
  • Maintain and update alumni and donor records in Blackbaud CRM
  • Coordinate financial transactions using Workday
  • Provide administrative support including correspondence, meeting coordination, and event planning
  • Handle confidential materials and maintain logs of donations
  • Support team activities and attend meetings as required
Qualifications
Minimum
  • High School diploma plus one year post-secondary education and four years related experience or equivalent
  • Willingness to respect diverse perspectives and commitment to equity, diversity, and inclusion
Preferred
  • Knowledge of university policies, fundraising, and alumni engagement
  • Strong organizational, communication, and technical skills (MS Office, CRM systems, Workday)
  • Ability to handle confidential information with tact and discretion
  • Flexibility to work outside regular hours and attend events
Additional Information

Reporting to the Senior Manager Academic Initiatives and Administration, the role works independently with minimal supervision.
