Job Description:

WE’RE LOOKING FOR AN ADMINISTRATIVE ASSISTANT, CORPORATE OFFICE (TEMPORARY 8-12 MONTHS)

Location: FORT ERIE, ON

Position Summary

The Administrative Assistant will perform a wide range of administrative duties to support the corporate office, Senior Leadership Team, and members of management at Airbus Helicopters Canada.

Primary Position Responsibilities

Senior Leadership Team Office Support

  1. Assist with administration when required.
  2. Assist with expenses as needed.
  3. Schedule meetings and manage calendars as required.
  4. Coordinate and organize meetings, logistics, and various administrative tasks as required.
  5. Assist Corporate Business Partner with offsite meeting logistics.
  6. Ensure onsite meeting rooms are adequately stocked, clean, and organized.
  7. Support the planning, coordination, and execution of corporate events.
  8. Maintain records and contact information for the Senior Leadership Team.

Customer/Visitor Support

  1. Coordinate meeting rooms for visitors and guests.
  2. Investigate, order and, layout lunch and refreshments for meetings, on site training events, Airbus University visitors and VIP visitors.
  3. Ensure all stakeholders are aware of guests and visitors coming onsite, including facilities, security, IT and Health and Safety.
  4. Create and display welcome information and packages for visitors.

Coordinate Travel

  1. Coordinate/assist with travel for all employees.
  2. Conduct and facilitate training on our travel system, Concur.
  3. Ensure Corporate Business Partner is aware of any significant travel changes/requirements.
  4. Manage requests for car service.

Social Committee

  1. Lead social committee meetings and activities.
  2. Assist Corporate Business Partner with securing venues for employee events.
  3. Assist with all logistics for annual events and employee appreciation celebrations.
  4. Create graphics, forms and communications for social committee initiatives.
  5. Create posts for the company’s intranet.

Company Store

  1. Maintain inventory.
  2. Sourcing new items for the company store onsite.
  3. Assist with submitting orders to purchasing.
  4. Open company store monthly.

Position Requirements

Education

  1. High School Diploma.
  2. Office Administration/Business Administration Diploma or Degree is considered an asset.

Experience

  1. 3 years’ administrative experience in Project Management, Business Administration or related field is an asset.
  2. Corporate Event experience (assets).
  3. Travel Knowledge & experience with Concur (assets).

  1. Strong proficiency with various computer applications (Canva, GSuite).
  2. High level of people skills, demonstrated sensitivity when required with a high level of confidentiality.
  3. Highly resourceful team-player with the ability to also be extremely effective independently.
  4. Excellent written and oral communication skills.
  5. Demonstrated high energy and flexibility.
  6. Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
