Job description

Reporting to the Shop Foreman, the Administrative Assistant supports our Lethbridge shop and Southern Alberta team in maintaining efficient operations across equipment, technology, and training. This role is ideal for someone who thrives in a detail-driven environment, enjoys independent work, and has strong experience with Excel, data manipulation, and process tracking in a fleet or shop setting.

Note: This is a contract opportunity until early 2027, with the possibility of extension or permanent placement. The position is based in-office in Lethbridge, Alberta, and follows standard business hours, Monday to Friday.

How You’ll Add Value

  • Ensure safety practices and compliance standards are consistently met
  • Generate and manage work orders and purchase orders for equipment inspections and maintenance
  • Monitor fuel supply levels and place orders to ensure uninterrupted operations
  • Receive select inventory items and track invoices and receipts for other departmental purchases
  • Monitor unit odometers, hour logs, insurance, registrations, and permits across the fleet, ensuring compliance and accuracy
  • Maintain accurate equipment records in Microsoft Dynamics 365 (D365), including unit transfers between locations
  • Track and schedule maintenance programs and inspections; ensure spreadsheets reflect completed work within correct timeframes
  • Use Microsoft Excel to clean, analyze, and consolidate data, ensuring accuracy in month-end reporting
  • Assist in coordinating third-party services such as hearing testing and training sessions
  • Provide technical and customer service support related to wireless devices and communication tools
  • Organize and update SharePoint documents related to training, maintenance, and technology support
  • Provide remote administrative support for the Calgary branch as needed, assisting with tasks and coverage from Lethbridge to ensure continuity across both sites
  • Assist with other administrative duties and special projects as needed

The ideal candidate for this position will possess the following: Qualifications & Experience

  • 2+ years’ experience as an administrative assistant or in a similar role
  • Strong proficiency in Microsoft Excel; experience with D365, SharePoint, or similar systems is preferred
  • Previous experience working in a shop, equipment, or fleet-heavy environment is a strong asset
  • Comfortable working independently in a structured, deadline-driven role with a high volume of data
  • Well-organized and adaptable, with the ability to prioritize competing tasks and maintain accuracy
  • Strong communication and customer service skills
  • Positive attitude, team-oriented mindset, and willingness to learn
  • Ability to problem solve and multitask, especially during month-end peaks
