Job Summary

Reporting to the Director of Instruction, the Administrative Assistant position assumes supervisory and core administrative duties in the Continuing Education Department and Summer Learning Department. Office supervision includes assignment of duties to clerical staff at Continuing Education, Summer School central office, and Summer Learning sites, ensuring effective staff performance and timely completion of deadlines.


Responsibilities

  • Supervise office operations and assign duties to clerical staff within Continuing Education, Summer School central office, and Summer Learning sites.
  • Monitor and report on multiple operational budgets and accounts.
  • Ensure compliance with policies and regulations from internal and external agencies.
  • Oversee data collection and reporting (1701, SADE & TRAX) to the Ministry of Education and Child Care.
  • Coordinate student registration process for the Summer Learning Program.
  • Analyze and summarize data; prepare reports as required by the administrative team.
  • Plan events, handle correspondence, maintain files, records, and reports.

QUALIFICATIONS
Education & Experience

  • Diploma in Business Administration or equivalent with a minimum of three years’ administrative work experience at a senior leadership level. An equivalent combination of education and experience will be considered.
  • Experience with student data systems (MyEducation, Power Bi) is an asset.


Knowledge, Skills, Abilities

  • High level of expertise in all areas of office practice and procedures.
  • Ability to work independently and prioritize time-sensitive projects while maintaining discretion and diplomacy.
  • Strong interpersonal, verbal and written communication skills with the ability to work effectively with employees at all levels.
  • Proficiency in Windows, MS Office Suite, and Adobe Acrobat.
  • Commitment to inclusion and belonging and building a caring and respectful workplace.
  • Acts with accountability, responsibility and transparency in the use of public funds.
  • Ability to supervise others in a union environment.
  • Sound judgement, tact, and discretion.

The salary range for thisposition is$71,538 - $89,422 per year with comprehensive benefits package and Municipal Pension.

Placement in the salary range is determined by an assessment of qualifications and ability to meet the key requirements of the job, and consideration of internal equity comparisons.The midpoint of the range represents an employee that possesses full job knowledge, qualifications, and experience for the position.
