The Administration Assistant plays a key role in the success of districts within a Canadian Banking Region by providing efficient administrative and operational support to District Vice Presidents (DVPs). This support enables DVPs to maximize their time in the market, leading and coaching their teams.

Accountabilities
  1. Provide administrative support to DVPs, including:
    • Managing schedules, travel, branch visits, and meetings
    • Coordinating and facilitating communication releases, liaising with involved groups for timely, accurate delivery, and maintaining distribution lists
    • Providing PC support: composing correspondence, creating documents, proofreading, and system backups
    • Tracking recognition programs such as Applause
    • Monitoring and ordering office supplies
  2. Support district reporting and expense management, including:
    • Reconciling and submitting DVPs’ monthly expenses
    • Reconciliation and tracking of district budgets and expenses
    • Assisting with forms, templates, and reporting with proper documentation
  3. Support district activities as directed by DVPs, including:
    • Assisting with goal setting, profit planning, and recognition programs
    • Planning and supporting district meetings and events, including venue, logistics, and post-event follow-up
    • Coordinating new branch opening celebrations
    • Supporting Bank-wide initiatives and district Business Continuity planning
  4. Support district and local activities, including:
    • Managing philanthropic requests and participation
    • Tabulating campaign results
    • Managing event tickets and invitations
    • Identifying opportunities for district representation in local activities
    • Ensuring compliance with risk management and conduct standards
    • Fostering a high-performance, inclusive work environment

Success in this role is measured by:

  • Support to the Toronto Centre district
  • Managing approximately 18-22 branches and reporting to DVP
  • Working independently with minimal supervision, exercising discretion in daily activities
Qualifications
  • Proficiency in Word, Excel, PowerPoint, Outlook, and Lync
  • High accuracy, attention to detail
  • Understanding of bookkeeping, budgeting, and expense management
  • Strong organizational, communication, and interpersonal skills
  • Discretion in handling confidential information
  • Knowledge of retail banking products, policies, and systems
  • Administrative experience is preferred
  • Undergraduate degree in business or related field is a plus
