Job description

Can you envision yourself in a role where you will support a Section head, manager, and team and performing various administrative duties to ensure the smooth operation of the division? If so, our LaPrade location is looking for an Administrative Assistant to join our Heavy Water Assets team, apply today!

What will you be doing!

  • Maintaining accurate office records and files/follow-up system for outstanding issues.
  • Preparing correspondence, minutes, and action lists and prioritizing commitments.
  • Reviewing incoming correspondence and electronic mail and taking appropriate action.
  • Reviewing and updating inventory records.
  • Analyzing data entries in the system.
  • Managing scheduling of meetings and appointments.
  • Coordinating meetings, such as booking rooms, sending invites, and ordering catering.
  • Tracking and following up on actions placed on the LaPrade Section head and other division staff.
  • Acting as a liaison between LaPrade Section head/Manager and division staff.
  • Arranging/coordinating travel.
  • Supporting tasks related to the Heavy Water inventory databases, sampling, sales, and transports.
  • Handling sensitive and confidential information pertaining to all Departmental and/or Divisional staff levels.
  • Classifying and submitting invoices to Accounts Payables.
  • Preparing iReqs for quotes and/or purchasing orders for work material, tools, equipment, PPE&C, and services contract for LaPrade site.
  • Collaborating with CNL (CRL) security department to review and complete the security clearance process for LaPrade staff, contractors, and new applications (staff and contractors).
  • Managing Dosimetry paperwork.
  • Recording the bubblers system data in the database.
  • Uploading the Radiation Protection Compliance Reports for LaPrade.
  • Responsible for regular (non-RAM) shipments and receipts on site.
  • Preparing shipping documentation and receiving reports.
  • Wrapping and securing the material, equipment or instrument for shipping.
  • Verifying the material, equipment or instruments received on site and taking appropriate action.
  • Tracking and ordering supplies.
  • Photocopying/printing.
  • Submitting maintenance/IT requests.
  • Translating a variety of working (procedures, instructions, SOW, reports) documents from French to English or English to French.
  • Ensuring reports meet CNL standards.
  • Following health and safety rules.
  • Other duties as assigned by your manager.

What We Are Looking For

  • Education
    • Secondary School Graduation.
    • Post-secondary training in Business Administration is an asset.
  • Experience
    • Two years of experience in an administrative assistive role, or the equivalent.
  • Knowledge, Skills & Abilities
    • Excellent written communication skills in both French and English Language.
    • Proficiency in MS Office with expertise in Microsoft Word, PowerPoint and, most importantly with Excel.
    • Detail-oriented and comfortable working in a fast-paced office environment.
    • Superior organization skills and dedication to completing projects in a timely manner.
    • Excellent time management skills and ability to multi-task and prioritize work.
    • Attention to detail and problem-solving skills.
    • Can work independently without supervision.
    • Must be "Team" oriented with demonstrated ability to work well with others and promote a positive work environment. Demonstrated leadership skills with the ability to train and develop others.
    • Demonstrates tact, diplomacy, trust, and discretion in handling of sensitive and confidential information.
    • Knowledge of office management systems and procedures.
    • Experience in, or willingness to be trained in, the use of CNL business systems.
  • Security Clearance Eligibility Required
    • Level 2 Secret requires a minimum of 7 years of verifiable history in Canada, Australia, New Zealand, the United States, and/or the United Kingdom. CNL implements security screening in accordance with the Treasury Board of Canada Secretariat's “Standard on Security Screening” and the “Policy on Government Security.”

CNL’s Gentilly-1 Prototype Reactor (shut down and partially decommissioned) is located on the Gentilly Nuclear Generating Station site on the south shore of the St. Lawrence River in Bécancour, Quebec, 100 km northeast of Montreal.
