Administrative Assistant (11‑Month Term)

$17.50/hour•Hybrid (In‑Office & Remote)•Full‑Time Temporary

Job Summary

We are seeking a highly organized and proactive Administrative Assistant for an 11‑month, full-time temporary role supporting a federal government team. This role blends administrative coordination, office management, travel logistics, and project support within a hybrid work model.

Responsibilities:

  • Deliver reliable office support and secretarial services
  • Manage travel arrangements and claims via NEO; ensure compliance with NJC/Treasury Board directives
  • Maintain contact databases and track promotional‑item inventories
  • Coordinate logistics and hospitality for team events and meetings
  • Assist with meeting preparations (agendas, minutes, scheduling)
  • Prepare correspondence, reports, financial info, and process invoices
  • Support account and procurement workflows, including SAP/IRIS and GCDocs
  • Update and maintain team leave calendar
  • Perform other tasks as assigned

Qualifications:

Education & Experience

  • Secondary school diploma or equivalent (education/training/experience)
  • Minimum 6 months of recent administrative experience in a business environment
  • Strong command of Microsoft Office, MS Teams, and Zoom

Preferred

  • Experience working with Canadian federal government
  • Familiarity with NEO travel system and NJC or Treasury Board travel directives
  • Experience using GCDocs and/or SAP/IRIS

Skills

  • Excellent planning, time management, and organizational ability
  • High attention to detail and accuracy in documentation
  • Professional demeanor with a strong service orientation and ability to maintain confidentiality

Job Details:

  • Monday–Friday, 7.5 hours/day scheduled between 7:30am–4:00pm
  • Hybrid environment: open-office setting with both in-person and remote work
  • Federal Holidays Off
  • Occasional heavy lifting required; work with changing priorities and interruptions; full support provided
  • $17.50 per hour
  • Must either have reliability screening or be willing to get it
