Winpak Division is seeking an
Administrative Assistant to join the administrative team based out of
Winnipeg, Manitoba. As an Administrative Assistant, you will provide essential support to both Human Resources and office operations, helping to ensure smooth, efficient service and an exceptional experience for employees and visitors alike. Reporting to the Supervisor of Administration, you will work closely with colleagues to coordinate onboarding, employee programs, internal communications, and more—all while maintaining confidentiality, professionalism, and a strong customer service focus.
Key Responsibilities
- Coordinate onboarding and offboarding activities, including orientation logistics, system access, and employee file management.
- Manage HR communications, including email, reception backup, mail distribution, and general inquiries.
- Maintain HR documentation, digital filing systems, and office/onboarding supplies.
- Support employee programs, such as recognition initiatives, service anniversaries, and employee perks.
- Assist with recruitment events and job fairs
- Manage internal access, including issuing swipe cards, resetting passwords, and updating access lists.
- Support safety programs and compliance requirements, including tracking safety equipment and maintaining SOPs.
- Collaborate closely with colleagues on administrative team and perform other administrative and office support duties as required.
- Promote teamwork, effective communication, and professionalism across the organization.
- Foster and maintain positive, collaborative relationships with employees, internal teams, and external vendors and service providers.
Required Qualifications
- 2+ years of experience in an administrative, HR, or office support role
- 2+ years of experience handling confidential information with discretion
- 2+ years of experience using Microsoft Office (Outlook, Word, Excel, Teams, SharePoint)
- 1+ years of experience working in a fast-paced, team-oriented office environment
- 1+ years of experience in a role that required exceptional communication skills, both verbal and written
Preferred Qualifications
- Post-secondary education in Office Administration, Human Resources, or a related field preferred
- Previous experience coordinating onboarding/offboarding processes and employee programs is a strong asset
- Additional certification(s) in administrative or HR systems (e.g., UKG, Microsoft Office Suite, SharePoint) is an asset
Additional Details
- Work Schedule: Full-time, Monday–Friday, 8:00am – 4:30pm
- Work Location: 100 Saulteaux Crescent, Winnipeg, Manitoba (full-time onsite position)
